The ODHS Publications and Creative Services (PCS) is a shared service unit that supports the Oregon Department of Human Services (ODHS) and the Oregon Health Authority (OHA) by producing professional-quality communication materials. Their mission is to ensure that all internal and external publications meet high standards for accessibility, branding, clarity, and design.

What PCS Does Publications and Creative Services (PCS) provides a wide range of services, including:

Graphic design and artwork
Photography and illustration
Layout and forms creation
Editing and proofreading
Plain language compliance
Brand and style guide oversight
Printing and distribution coordination
Document lifecycle management (including version control and storage)

They also ensure that all materials comply with state and federal laws, including accessibility standards, and manage permissions for copyrighted content and photo releases.

We are hiring multiple Creative Services Accessibility Coordinators (Administrative Specialist 1) for a 12-month limited duration role with the ODHS Publications and Creative Services (PCS) team based in Salem.

Summary Of Duties As a Creative Services Accessibility Coordinator, you will:

Respond to information requests via email, phone, and project inquiries.
Refer inquiries appropriately based on customer needs and context.
Manage incoming communications, including mail and information requests.
Assess whether further research is needed and gather relevant details.
Compile and distribute information to team members and leadership.
Prepares and researches invoices for approval and signature for language access, alternate formats, office and project expenditures.
Counsel the Director, as well as other staff when excess workloads and other operational needs are identified.
Assists the director and operational managers with daily operations and improvements.
Coordinate and support the director and operational managers for high level meetings and presentation scheduling.
Supports the Graphic Design and Translation teams by coordinating graphic design projects, internal and external translations, document server administration, and accessibility standardization.

Minimum Qualifications
* Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data; OR
* An associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data; OR
* An equivalent combination of education and experience.

Essential Attributes We are looking for candidates with:

* Experience with Adobe WorkFront, Adobe Experience Manager (AEM), and Microsoft 365 applications such as Word and Excel—highly preferred.
* Experience with managing tasks in high-energy environments, whether on-site with frequent interruptions or in remote settings.
* Experience with meeting tight deadlines while maintaining regular communication with government staff, agency partners, contractors, and the general public.
* Experience with working independently under general supervision, including initiating and completing assignments with minimal direction.
* Experience with interpreting broad project goals and translating them into actionable tasks reviewed upon completion.
* Experience with balancing multiple priorities while maintaining accuracy, professionalism.
* Experience and knowledge of Americans with Disabilities Act (ADA) Digital Accessibility rules and Web Content Accessibility Guidelines (WCAG).

Working Conditions
* Work Locations: This position is fully remote.
* Remote Work Environment Standards: Must have a dedicated workspace or quiet environment suitable for remote work, ensuring the ability to participate in virtual meetings, handle phone calls, and perform other business activities without interruptions.
* Hours: Monday through Friday, 8:00 AM to 5:00 PM. Occasional overtime may be required, including evenings and weekends.
* Physical Requirements: Physical requirements include the ability to sit for extended periods while working at a computer or participating in virtual meetings.
